Texas A&M Foundation Privacy Statement

In recognition of our complementary missions, Texas A&M Foundation and The Association of Former Students maintain a joint database of former student and donor records to provide superior service in a cost effective and efficient manner to both you and Texas A&M University.  The following information will provide you with an understanding of the efforts we make to protect this information on behalf of former students and friends.

Information collection & use

Registration
Registration is not required to use the Texas A&M Foundation website. If you choose to register, information requested during registration will include your full name, mailing address, email address and telephone number.

Registering with the site allows you to save time completing online giving, event registration and contact information update forms because your information will be prefilled. Also, you can manage email preferences in one location for all Texas A&M entities that utilize our central database.

Updating your contact information
You can update your contact information for the shared database between The Association of Former Students and the Foundation here.

Uses of information
We collect personally identifiable information when processing your gifts or responding to inquiries by other methods. This information may be supplemented or updated from public sources if relevant to advance our mission. We use postal service returned addresses and other related services to maintain accurate donor mailing records.

We periodically conduct surveys about our services. We may use a third-party service provider to conduct these surveys. Any third-party provider using personally identifiable information for purposes of a survey on our behalf will be prohibited from using this information for any other purpose.

Communications from the Texas A&M Foundation 

 Former students and friends of Texas A&M University receive periodic communications from the Texas A&M Foundation. You may opt-in or opt-out of receiving print or electronic communications by contacting us through one of the following methods:

  • Register/login to the website and go to the Update My Info page. Select the Subscription Management tab to manage your email preferences.
  • Click the unsubscribe link located at the bottom of any Foundation email.
  • Call us toll free at (800) 392-3310 between the hours of 8:00 a.m. and 5:00 p.m. CST.
  • Email us at amfoundation@tamu.edu.
  • Write to us at 401 George Bush Drive, College Station, Texas 77840-2811

When you contact us, please be prepared to provide the following information: first name, last name, middle initial, class year, address, city, state, zip code, telephone and email address, if applicable. If this information changes in the future, please contact us to update your database profile so we can ensure you continue to receive the communications you requested.

Information sharing
The Texas A&M Foundation does not sell or share information for commercial solicitation or political purposes.

With Texas A&M University
Information about you is shared with Texas A&M University to provide for appropriate administration of donated funds, with students of scholarships you have funded to allow students to express appreciation for this support, with the college granting your degree so you may be provided with opportunities for continuing education, newsletters, events, etc., and to support the continued success of Texas A&M University.

With honorees
Texas A&M Foundation provides names and addresses of individuals who make memorial and honorary gifts to allow family members to thank those contributors personally. Individuals’ contribution amounts are not provided.

With volunteers and affiliates
Information may be shared with our volunteers in the course of planning for solicitations, campaigns and fund-raising events, or with class agents from The Association of Former Students for class gifts or projects. Information may be shared with other non-profit organizations affiliated with Texas A&M University, such as the George Bush Presidential Library Foundation or the 12th Man Foundation, to assist them in performing their missions in support of Texas A&M University.

Information provided to the Texas A&M Foundation and stored on the unified database is accessible to The Association of Former Students. You should review the privacy policy of The Association of Formers Students for disclosure of how they may utilize this information.

Legal request
The Texas A&M Foundation is a non-governmental entity which is not subject to the information disclosure requirements to which Texas A&M University is subject as a state agency. However, information provided to Texas A&M University is subject to disclosure in accordance with state law.

The Texas A&M Foundation will respond to a valid legal request for information.


Clear GIFs
You can browse our website without giving us any personal information. We use web analytic technology, commonly referred to as clear GIFs to accurately track web pages and links requested by our visitors. Clear GIFs are invisible tiny graphics with unique tracking codes.  They help us analyze traffic to our website in order to understand visitors’ interests and to continually update our site to improve a user’s experience. Our analytics software does not collect any personal information, but instead provides information such as browser type, referring pages, pages visited and time spent on the site.

If you choose to register/login to the website or subscribe to emails, we may monitor your browsing patterns in order to provide you with a better browsing experience for future visits and also to provide you with additional information on topics that you find of interest. 

Cookies
A cookie is a small text file containing information that a website transfers to your computer’s hard disk for record-keeping purposes. We use cookies for more accurate traffic analysis such as tracking the time and date of your visit, the pages viewed, the referring page and if it is a repeat visit.

Security
The security of your personal information is important to us. We use the latest technologies to provide a secure environment for record retention both on- and off-line. When you enter sensitive information on our registration form, we encrypt that information using secure socket layer technology (SSL). Look for the lock icon on web browsers such as Mozilla Firefox®, Google Chrome® and Windows® Internet Explorer as a sign you are on a secure page.

We follow generally accepted industry standards to protect the personal information submitted to us, both during transmission and once we receive it. While we strive to protect your personal information, we cannot guarantee its absolute security.

Online giving and links
If you choose to make an online donation, you will be directed to our form hosted by a third-party provider, iModules® Inc. Online donations are processed through our merchant account, Elavon® Inc. Information collected by iModules and Elavon systems and shared with us will not include your credit card number. Please see iModules' privacy statement and Elavon's privacy statement for more information. The Texas A&M Foundation is not responsible for the privacy or security procedures of the processor. Direct credit card refund requests to Debora Voorhies, pledge & online gift administrator at the Texas A&M Foundation.

Calculators provided by Crescendo Interactive linked to gift planning information on our website, as well as links to Texas A&M University and other sites through our web access, are subject to the privacy and security procedures of the provider and the Texas A&M Foundation is not responsible for the content or privacy features of such third parties.

Comment Policy
Texas A&M Foundation welcomes relevant comments on materials and information on this website. Please be aware of the following if commenting:

  • This is a moderated site, all comments are reviewed before posting.
  • Texas A&M Foundation is not obligated to post any comment and reserves the right to decide which comments will be posted on this website, remove comments which have been posted, edit comments or eliminate the ability to comment at any time.
  • Comments should not contain statements that are profane, obscene, offensive, sexually explicit, inappropriate, inflammatory or otherwise objectionable.

Promotion/Sweepstakes Official Rules

  1. The Texas A&M Foundation social media promotion/sweepstakes is open to legal residents of the United States (excluding Puerto Rico) who are age eighteen (18) years or older at the time of entry. This promotion is void where prohibited by law. Employees of the Texas A&M Foundation, Sponsor of this promotion, and their families or any persons residing at the employee’s address are ineligible. For this purpose “family” includes a spouse, child, sibling, parent, grandparent/grandchildren (step, adopted or half included as applicable).
  2. Entry must be by online access only. Entrants must have access to the Internet at all times during the sweepstakes and subsequent prize-award period.
  3. Online entries must be received as stated in the announcement for each online contest. Only one entry per e-mail address or social media username is permitted. Winners will be selected by random drawing by the Foundation as stipulated online for each contest. Times and dates of the drawings will vary as stipulated online for each contest. Odds of winning depend on the number of entries received. Winners will be notified within 24 hours of the final deadline by e-mail (if available on the social media site) or the communications function of the specific social media outlet. Winners will have 24 hours from the time the Foundation sent notice to them to respond. If the Foundation does not receive a response from the winner within 24 hours of the original notification, the Foundation will award the prize to the next contestant in line.
  4. Specific prizes as described in each weekly contest will be awarded to a single winner per contest selected as described above. The approximate retail value of each prize is under $150. The prizes will be sent via commercial delivery service to the address provided by the winner. The Foundation is not responsible for prizes that are lost or delayed in delivery. In instances when prizes are in the form of tickets to events, unless otherwise stipulated by the Foundation, winners are responsible for arranging transportation, lodging, food and any other logistical needs necessary to attend the event.
  5. No alternative to the prize as described will be awarded. A cash value equivalent will not be awarded. Winners must be available to attend any event on the date of the ticket awarded. No alternative date, seating or location will be available. Any taxes owed as a result of winning are the sole responsibility of the winner.

Texas A&M Foundation is not responsible for technical, network, electronic, computer, hardware or software failures of any kind, including incomplete or delayed Internet/e-mail computer entries, traffic congestion on the Internet or any Web site, or for any technical errors of the Foundation, the participant or the site on which the promotion is conducted. Photo Contest Official Rules

  1. The Texas A&M Foundation photo contest is open to legal residents of the United States (excluding Puerto Rico) who are age eighteen (18) years or older at the time of entry. This promotion is void where prohibited by law. Employees of the Texas A&M Foundation, Sponsor of this promotion, and their families or any persons residing at the employee’s address are ineligible. For this purpose “family” includes a spouse, child, sibling, parent, grandparent/grandchildren (step, adopted or half included as applicable).
  2. Entrants may only submit photos that they have originally taken and to which they possess all legal rights. Additionally, by entering the contest participants release and license the submitted photos for unrestricted use by the Foundation in any of its publications and websites.
  3. Entries must be received as stated in the announcement for each contest. Only one entry per email address is permitted. Winners will be selected by online audience voting for each contest. Times and dates of the winner announcement will vary as stipulated online for each contest. Winners will be notified within 24 hours of the final deadline by email. Winners will have 24 hours from the time the Foundation sent notice to them to respond. If the Foundation does not receive a response from the winner within 24 hours of the original notification, the Foundation will award the prize to the next contestant in line.

In the event of a tie, the Foundation reserves the right to either award prizes of equal value to the winners or conduct a run-off competition.
